By default each row in the timeline is a user, and activities are shown on the row of the user they are assigned to. An administrator can also let the timeline show records from other modules as rows, for example assets, candidates or employees. Each row is then one record, and activities are shown on the row of the record they are linked to.
Set it up
Only administrators can do this. The settings apply to all users.
- Open the calendar, choose Timeline and click the gear icon > Timeline settings.
- Under Resource types, click Add module.
- Choose the Module. Only modules that events, to-dos or project tasks have a relation field to can be chosen.
- Choose the field that links events and to-dos to the module, the field for project tasks, or both. If you leave a field empty, that kind of activity is not shown on these rows.
- Click Save.
Untick Active in the list to hide a module from the timeline without deleting its setup.
Under Rows in the timeline you can also:
| Setting | Description |
|---|---|
| Users | Untick it if the timeline should only show other modules. At least one module must then be active. |
| Activities with several resources | An activity can be linked to several rows, for example a meeting with two assets. Show on all related rows shows it on each of them, marked with a link icon. Show on the first row only uses the first one. |
| Show by default | The rows users see until they choose something else. |
Use it
In the timeline, click Rows and choose a module, then one of its lists. The rows are the records in that list, at most 200, so you can limit them with an ordinary list, for example "Active assets". Only lists and records you have access to are shown. Your choice is remembered for each view (day, week, month).
- Move an activity to another record: drag it to that row. The relation field is changed; "Assigned to" stays the same.
- Create an activity for a record: click or drag on its row. The new activity is linked to that record.
- An activity shown on several rows can only be moved in time, not to another row.
Choose Users under Rows to see the timeline per user again.
Troubleshooting
A module is missing under Module? Events, to-dos or project tasks need a relation field to it. Add one in the module's layout (Edit fields), then open the timeline settings again.
An activity is not shown? Its relation field must point to a record in the chosen list, and a field must be set for its kind of activity (events and to-dos, or project tasks).
No Rows menu in the timeline? It is shown when at least one module besides Users is active.
